February
22, 2009 - Membership Meeting Minutes
Mary
Wagner, President, opened the general membership meeting at
2:20 pm on 22 Feb 2009 at the New Braunfels Public Library.
Members attending were Mary Wagner, Ruth Krimsky, Ashley &
Cliff Bergfield. Ruth passed out ALPEA membership cards to
those members present.
Mary gave a
brief report on where the club stands with regards to
retrieving the club’s items from the previous board and the
steps made toward updating information with the Secretary of
the State, the IRS, and our 510C status. Finally, everything
regarding the club and these offices has been changed to the
new administration address and listing of officers. The 501C
paperwork is now in hand and available for those who need
copies. After an unapproved change of address with the IRS,
to an unknown address by unknown persons, Mary was able to get
it changed to another address that is shared only with the
executive Board of Directors and it is password protected with
the IRS. Per the 501C, ALPEA is declared a non-profit
corporation with tax-exempt status, but donations to it are
not tax deductible for the donator.
Ruth passed
out the January 2009 Membership Meeting Minutes to the members
present. They were accepted unanimously.
Ruth
explained that the Treasury status is still incomplete until
we determine if there are additional bank accounts. We are
still trying to find out as much as possible about the
financial trail of the club from the previous 2 ½ years.
Karen
Turner, ALPEA Vice President, is our new Webmaster. Karen
will be changing the web server as soon as possible.
The
Futurity status has not changed since the last meeting. The
2009 Futurity is officially cancelled. An open futurity
scheduled for September in Rosenberg, TX, is being discussed.
There are many details to work out and the final decision has
not yet been made.
Cliff is
willing to help change the name of our club, if and when that
is decided to do. For now that discussion and decision has
been tabled.
Ruth
motioned and Ashley seconded that any member not in good
standing with either ALPEA or PHBA, or both, would not be
allowed to attend any meeting of ALPEA. It passed
unanimously.
The ALPEA
April trail ride was discussed. Ashley is willing to create
posters and flyers to be distributed to feed and tack stores.
As of now the trail ride is set to be on Saturday, 18 April
2009, in Nixon, Texas. When more details are determined,
Ashley will create the advertisements, flyers, and posters.
Things to
do include:
- Going to
Bank of America and getting all possible records from old
accounts, closing the current account, and establishing new
accounts at Security Service Federal Credit Union.
- Rework
several articles in the by-laws and present the changes to the
membership-at-large for approval.
- Contact
Detective Laughlin to see where we are with the investigation
and legal progress.
- Provide
youth membership list with addresses to Ashley Bergfield & add
Cliff to the list of ALPEA email recipients.

Insurance for equine-related clubs and all club related
activities needs to be acquired.
The next
meeting has been set for 3:30pm, 21 March 2009 at the New
Braunfels Library.
The meeting
adjourned at 4:10 pm.
